Hi

I recently got back from Panama and I'm adding birds to BD by checklist method. One of the birds I saw was a Violet-throated Toucanet, split from Emerald Toucanet. I went to the Tax editor and found that Violet-throated Toucanet is in the BD data base, Aulacorhynchus cognatus. I hit the 'update' button. Then I  tried to incorporate it into the Clements 08 list for Panama using the Checklist page.

On the Checklist Editor page I used the left pane, entered Clements 08 for the Tax, Panama for the location, and Violet-throated Toucanet for the Name. Hit the Green Cross button. (I think that's all I did) and now when I go the the Add page and try to add species for Panama, the only species I have listed for Panama is Violet-throated Toucanet!!!!

I'VE LOST ALL THE BIRDS FOR PANAMA!

I would like to be able to get the Panama bird list back -- how, what did I do wrong?

I really don't understand the process for adding things or 'things' to BD. I would like to know how to add species, subspecies to the tax lists.  I tried to add Spot-crowned Barbed, subspecies pirrensis to the birds that come up when Panama is filtered in Mass entry.  That subspecies is not in BD database. I was able to get it into the data base with the Tax Editor, and it shows in Tax View, but I don't know how to get it into the Clement's list, but  now  that whole list is missing.

Hello Diana,

In short, you forgot to click the Load button after selecting the Location. This resulting in not loading the Panama list. So, you added your bird and clicked Update. This overwrote the current Panama list with just your one bird. Be sure to always click the Load button after selecting the location. BD should not allow you to shoot yourself in the foot and this has been corrected in v3.7, when it comes out.

Attached below is the complete Panama list. Please import with the settings shown in the screen shot shown below.

Then re-add your bird, but be sure you LOAD the panama list first.

Then let's talk about the other questions you have concerning adding subspecies./things, etc.

Dear Jeff,

Phew! that worked. I am confused about all the possible buttons to select on the Checklist Editor: Ssp., Set, All, Load, Binos( search). Then there are green plusses and red exes times four. I tried to play with the add and delete buttons and managed to freeze the whole program. I don't understand the difference beween the two panes of that page, nor the Things page.

Is there someplace where this is explained? I tried looking in "help" but there is nothing under 'help with this page' for either the Things or Checklists pages, nor is there help within the 'Life Ring' Solving how-to issues.

Now I tried to add the pirrensis subspecies for the Spot-crowned Barbet using the 'Thing' editor, but could not type it in without it turning red. I could not get it in the Checklist either.

Hi Jeff,

I tried to add Spot-crowned Barbet in the Thing editor.  It would only go in as Spot-crowned Barbet Pirrensis, (not small 'p' pirrensis) so now that is what the Thing is called. I can't really tell what I've done but in View Edit, I see that the birds listed are the correct subspecies.  However, in the Checklist Entry, it appears that I have reassigned the Species Spot-crowned Barbet to the subspecies designation.  I tried to find it in the Rosetta Stone but it's not there.  (Screen shot)

I opened the Tax Viewer but there is nothing there, I could swear that the whole tax tree appeared there the last time it looked.  What happened to the Tax View?  (Screen shot)

In the forum archives I tried to find information about how to use the Thing, Tax and Checklist Editors  separately and together, but did not come up with much.

OK, I just figured out why there is nothing in the Tax Viewer. I need to choose a Taxonomy--I need hints, big hints--as what to do.

Diana,

I'm obviously not Jeff, but I might be able to help out.

First, about the subspecies pirrensis.  That subspecies is not considered valid by any taxonomy used in Birder's Diary, as Clements considers it part of the subspecies rubrilateralis.  This is why the 'thing' Spot-crowned Barbet pirrensis was not already in BD.

I would recommend just entering your sightings under the Clements subspecies rubrilateralis, maybe with a note in the comments about pirrensis.  This is because creating a new thing can get confusing easily and cause problems with future taxonomies that might include pirrensis.  Your new thing must match the taxonomy programmer's new thing exactly, otherwise your sightings will not show up in a report for that taxonomy.  If you're only using your own custom taxonomy, then it should be fine.

If you still want to enter a sighting for pirrensis, you would need to create a new 'thing' for it, which you did.  For future reference, the text turns red in the Thing Editor when you're entering a new name that the SmartSearch function does not recognize...so that part was normal.  For the automatic capitalization, though, you need to disable it by turning off the SmartSearch function.  This is done by hitting CTRL+down.  You can now enter a new 'thing' without the automatic capitalization of a new word.

To fix the capitalization of pirrensis in your new thing, go back to the Thing Editor.  Bring up Spot-crowned Barbet Pirrensis.  Click on the button to the right of the name, which has the pop-up text "Change description for this Thing."  You can now chang the name so that pirrensis is not capitalized.  Click OK, and then click the Update in the Thing Editor.

It looks like you might have given your new thing the common name Spot-crowned Barbet, without any subspecific epithet.  I would highly recommend giving it the common name Spot-crowned Barbet pirrensis.  You can change this in the Thing Editor by following very similar instructions to those above, but under the common name section of the editor.

Now, for actually entering sightings for this new thing and putting it in checklists...  I'm not sure what steps you took toward this, so I'll just start from the beginning.  Once a new thing has been created, you need to add it to a taxonomy to enter sightings.  If Clements is your default world taxonomy, I would recommend first creating a duplicate of it.  This gives you one copy for your custom use but also insures that you don't lose the "official" version.  So, here are the steps:

1)  In the Tax Viewer, click on the New button.  Name it whatever you like (My Clements, e.g.).  Click Add.

2)  Now that the new taxonomy is added, find it in the drop-down list in the Tax Viewer.  This will bring up your new, completely blank taxonomy.

3)  Click on the Copy button, which will bring you to a new window.

4)  Find the Clements taxonomy in the left drop-down list.  Now you have the Clements taxonomy on the left, and your blank custom taxonomy on the right.

5)  Drag and drop the Animalia node from the Clements list over to the blank side.  You've now created a copy of the Clements taxonomy that you can mess around with without worrying about losing the official version.

6)  Click Close in the copy window, and now you're back to the Tax Viewer with your custom taxonomy ready to go.

7)  Click the Add button, which calls up the Tax Editor.

8)  Type in Spot-crowned Barbet pirrensis in the Thing field.

9)  Choose Spot-crowned Barbet pirrensis as the preferred common name.

10)  To more quickly insert this thing in the proper place, type in Spot-crowned Barbet in the Preset field, which calls up all the right fields to the species level.

11)  Type pirrensis into the Subspecies field (it might be red text...that's expected).

12)  Click Add.  If your text was red, it calls up a window that asks you to describe this new scientific name.  Just click Cancel, if you want.

13)  Click Close in the Tax Editor window, and now you're back to the Tax Viewer with your new subspecies thing added.  Close the Tax Viewer.

Now on to adding your thing to checklists, so you can enter sightings if a location filter is in place.  These steps will work for adding any new thing to any checklist but are obviously specific to your case.

1)  Click on Checklist to bring up the Checklist Editor.

2)  Under the Thing Checklist side, type in Spot-crowned Barbet pirrensis in the Thing field (leave the Loc Filter field blank).

3)  Click Load, which should appear to do nothing b/c your thing is brand new.

4)  In the Location field, type Panama, then click the green plus button.

5)  Click Update.  Spot-crowned Barbet pirrensis is now on the Panama checklist.

Alternatively, you could follow these steps:

1)  Bring up the Checklist editor.

2)  Under the Location Checklist side, choose your new custom taxonomy from the drop-down list.

3)  Click on the Ssp. box if you want to show the subspecies in your checklist (not necessary if just adding something, even if it's a subspecies).

4)  Click Set.

5)  Type Panama into the Location field.

6)  Leave the All box empty, unless you want to see every single species and subspecies on the Clements taxonomy (very unnecessary in this situation).

7)  Click Load.

8)  Type Spot-crowned Barbet pirrensis into the Name field, then click the green plus button.

9)  Click Update.

Okay, I know this is probably the longest post ever on the forums now!   It looks like you have one more problem, though - that you removed the full species Spot-crowned Barbet from the Panama checklist.  I think this is because your common name for the new thing Spot-crowned Barbet pirrensis had the common name Spot-crowned Barbet (instead of Spot-crowned Barbet pirrensis).  Two things on a list cannot have the same common name (so the full species Spot-crowned Barbet might have been booted or something...not really sure how that would happen, though).  To fix this problem, follow the instructions above on giving your new thing the proper common name.  Once it has the right common name, go to the Tax Viewer and find the new thing.  Highlight it and click Edit to change its preferred common name.  Make sure the full species Spot-crowned Barbet is still in the taxonomy as well and has the proper common name.

Go back to the checklist editor and follow the above instructions to make sure both Spot-crowned Barbet and Spot-crowned Barbet pirrensis are on the Panama checklist.  This is easiest to under the Thing Checklist side of the Checklist Editor.

I'm sorry this was so long!!  I just figured I'd try to make it as clear as I could since you were having some problems finding a good reference for it.  I really hope it helped!  I'm sure I missed something obvious in the explanation, so please let me know if something doesn't work correctly for you.  Despite my rambling explanation, I do want to reiterate that it might be better/easier to just enter your sightings under the subspecies rubrilateralis so you don't have to deal with this issue at all.  Up to you, though!  I've had a lot of fun creating new things and taxonomies, so I don't want to discourage you too much.

Hello Diana,

For each button/field/checkbox etc in Diary, hold your mouse over it for a second or two and you will get a ToolTip, with a brief explanation of the function of that control.

The Checklist Editor is explained in the Support :: Online Users Guide section of this web site. Just choose Windows on the left and then Checklist Editor. This online guid is an update in progress. So not all windows currently have information, but the Checklist Editor does.

I am lost as to what you are trying to do Diana. For example, I don't know why you would try "to add Spot-crowned Barbet in the Thing editor".

So, let's start here, what exactly are you trying to accomplish, and then I can go about telling you the correct way to do this.

NOTE: I am leaving for PERU this afternoon, and will be gone for two weeks. But please respond with the info I ask above and there are many folks that can help.

I think Nick's suggestions sound good, although I haven't gone through it all yet. Proceedures always seem more complicated when written out. Jeff, I was trying to add the subspecies Spot-crowned Barbet pirrensis to the Thing editor. I guessed that it isn't fully recognized, but since I have the information from a tour company leader, I thought I would try to incorporated that information in my personal list for future reference. If I only make a note in the comments, I will forget about it should it become recognized in the future. I don't think that comment information is searchable.

I missed the on-line users guide. Sorry. I tried other areas for help and got a Windows Vista message saying there was nothing.

Nick--Thanks so much for your help. I will work through your suggestions. Part of this discussion is about Spot-crowned Barbets, but the bigger part is just trying to understand how Birder's Diary works. I've always been confused about Things, creating or editing Tax lists, and working with checklists--the big picture. I'm hoping that going the above proceedure and on-line help will make it clear.

Thanks again to you both and see lots of fancy birds in Peru, Jeff. I'll report on my efforts.

I don't think that comment information is searchable

Comments are searchable. In View/Edit, enter your search term in the comment box, click the check box next to it, and click Continue. It should find any sighting with that string in the comment.

I use a different technique. T have a user-defined field (checkbox) named "Escrow", and check it for any "gonna be split any day now" species. Then I enter appropriate comments so I will know which new species it will be.

Hi Nick and all.

I worked through the list Nick provided. I created my new personal version of Clements. That went well. I think I have got the whole thing to work, HOORRRAAAY!
I now have a clean copy of Clement's 08 with the full species of Spot-crowned Barbet but without pirrensis AND I have my own version of Clement's with pirrensis. Pretty cool.
Thank you so much, Nick. I feel I understand how to use these pages and can add things without messing up the whole thing--we'll see.

Small Problem: In the Tax Editor when I place the cursor in the Thing or Preset fields and try to disable SmartSearch, I get the following message:

This SmartSearch field does not allow new values.
You can only select values already in the database.
Therefore you cannot disable SmartSearch on this field.

I get the same message when I type in part of a name then try to disable SmartSearch for typing the remainder of the name.
I also get this message when typing in the Search Field in the mass entry checklist window.
Bottom line is I have not been able to disable SmartSearch ever.

Question: In the future, if I add a sighting down to the subspecies level (including those valid in Clement's) in the mass sighting window, should I also add it as the full species--add it twice? The reason for this question is that if I add a sighting as a subspecies and later check on the sighting as a species using View/Edit, it does not appear. I must search for the subspecies. If I search for all the sightings for a location or time span, the subspecies entries do not show up nor do the full species. I do not see a place in the View/Edit set-up for calling up anything but full species.

I did check to see if I added both the species and subspecies for the same sighting as a lifer, the new sighting was only counted once. So if I add a lifer sighting as a subspecies it won't count, right?

It does seem like a strange work-around, though. From a 'Thing' point of view (which I am trying to grasp) a full species is a separate Thing from a subspecies Thing. My concept of subspecies is that they are sub-sets of species. From the sub-set concept, I would assume that if I add a subspecies, that would automatically add the species because it is part of a species or contained in a species. The location tree works that way, but not species and subspecies?

Again, many thanks, Nick, for taking the time to go through the process. It was very helpful!

And Steve thanks for the help on comment searching. I like your 'Escrow' idea. Wish I had started that years ago!

It's never too let to start with an "Escrow" user-defined field.   I use the same kind of thing for possible future splits and lumps.

As for your question...  If you add a sighting of a subspecies in the mass sightings section, it will count toward your life list.  You do not need to enter a separate sighting for the full species.  One caveat, though - it will only show up on your life list report if you are using a tax list that has that subspecies in it!  For example, if you enter your Spot-crowned Barbet pirrensis sighting using your custom tax list but then run a life list report using the AOU taxonomy, then your barbet will not be counted.  Make sense?  So it works like the location tree, but only when using the right taxonomy "tree".  This complexity allows a 'thing' to show up as a subspecies on one tree but perhaps a full species on another tree, depending on which taxonomic authority you're using.  Pretty cool, really.

As for the SmartSearch function, you can disable it in the Thing Editor, but not the Tax Editor.  Once in the Tax Editor, you can only choose something you've created in the Thing Editor first.  At least, that's my interpretation of your problem.  You shouldn't need to disable it in the Tax Editor for any reason.  If you can't disable it in the Thing Editor, then I'm not sure what the problem is...it shouldn't have a problem with that.

Thanks for your response.

Correct me if I'm wrong, but I still don't think I can call up a bird entered at the subspecies level in the View/Edit window (unless I search for that subspecies). It seems that when I search for birds from a date or location, only full species come up. There is no way that I can see to request sightings to include full species AND subspecies on the View/Edit setup, i.e. there is no check-box to include subspecies in the report.

I tried a little test to see. I added a bird I have NOT seen as the species OR subspecies: Little Tinamou meserythrus. I then went to View/Edit and searched for Little Tinamou--nothing came up. But if I search for Little Tinamou meserythrus--it is found.

When I request a report of birds of the world for the date of my ficticious sighting (without including subspecies as one of the report fields) the bird shows up!

So it seems that in order to have a bird sighting entered only as a subspecies would require it to be entered as the full species also, if it is to show up in View/Edit.

Now I'll delete my ficticious sighting...

You are right about SmartSearch. I was able to disable it in the Thing Editor, but not in the Add Sightings search box. I now understand that the only place it can be disabled is in the Thing Editor because that is the only place where the database can be modified. Right?

I think I figured out what the problem is, and it's not an obvious one.  Under the View/Edit window, click on the box to the right of the Name field.  This will call up all subspecies, as well as the full species.  That should work for you!   Once the box is filled, it will stay that way until you uncheck it at some point in the future, should you choose to.

Yep, you're right about SmartSearch.

Well, you corrected me 'cause I was wrong--Thanks. :-) You are also correct about it not being obvious. I really like Birder's Diary, but I don't find it particularly intuitive. I certainly don't thinki like a programmer.

I did appreciate your how-to list about Things and Checklists. That made that whole thing clearer. Thanks again.

Yeah - that little checkbox is kind of hard to find. However, the tooltip (pausing your mouse over the checkbox) gives you a description of the use of that checkbox.

Why doesn't it have a lable? Ran out of real-estate on that window. GACK.
