You can access the Import/Export functionality for Checklists by selecting File | Import/Export and then selecting the Checklists tab. Exporting Checklist DataYou can export checklist data via two methods.
- BY LOCATION
When you select this option, you must specify a location (e.g. continent, country, state, county, etc). You should also specify a taxonomic list with this option. If you don't then you export all things in Diary that are associated with this location. For example, birds, butterflies, reptiles, trees, etc. And you probably did not update the information for all of those things. In addition, you may or may not want to check the Box for including all sub-locations of the specified location. For example, if you updated the checklist of butterflies for Colorado, and you also included county information in that update, then you would want to check this box. When you click export, all things classified by the specified taxonomic list and associated with the specified location will have their checklist data exported.
- BY NAME
When you select this option you must specify a Common Name or Scientific name for the thing you want to export. You would do this if you had updated, for example, the worldwide location data for a specific species such as Common Nighthawk. When you click export, all location data for the specified thing will be exported. Importing Checklist DataWhen importing checklist data, you have three options. Carefully consider the information below before deciding which option you should choose.
- DO NOT OVERWRITE - ONLY ADD
This option will take the data found in the import file, ignoring duplicates (e.g. if you already have Evening Grosbeak associated with Colorado in your Diary database, and one such record in the import file, that record will be ignored) and only add new data to your checklist data. You would use this option, for example, if you are importing a file that you want to use to supplement the data you already have in Diary. If you feel that the import, however, is more accurate than the data you currently have, then you would choose option 2 or 3.
- OVERWRITE THINGS
This option should be selected when importing a file that contains data specific to one or more things. For example, if you are importing a checklist file that contains data for hummingbirds of the world (or just one species) you would select this option. Selecting this option removes all checklist data in Diary for the things found in the import file and then adds the data from the import file. This assumes that the data in the import file is more accurate than the data you currently have in Diary. This option would be chosen when option 2 above was chosen to create the export file.
- OVERWRITE LOCATIONS
This option should be selected when importing a file that contains data specific to one or more locations. For example, if you are importing a checklist file that contains data for Ecuador, you would select this option. Selecting this option removes all checklist data in Diary for that location and then adds the data from the import file. This assumes that the data in the import file is more accurate than the data you currently have in Diary. This option would be chosen when option 1 above was chosen to create the export file. |
