Subject: Adding a species to a Provincial/State Checklist

I know this topic is covered in the forums. Every time I have to do this my brain stops working and I promise myself to make a note of how to do it - and still mess up. Please indulge me and spell out how to add a species that is in the Clements  checklist to  a state or provincial list.

Hi,

Ok - I had created these SWF (Shockwave Flash Video) tutorials on how to use the Checklist Editor in 3.6.

  1. Click on them and choose "Open" (Internet Explorer)
  2. After it downloads, if it asks you what to use to run/open the SWF file, specify Internet Explorer
  3. If you do not have Shock Wave Video, you will be prompted to browse the internet for a program to use. Choose that option and choose Shockwave Flash Video player from Adobe/Macromedia. After downloading and installing this, you may have to go through steps 1 and 2 again.

Now - to give a written answer to your specific question: "how to add a species that is in the Clements checklist to a state or provincial list." But let me correctly state this question using the terminology used in BD. "How to add a thing that is in the Clements taxonomic list to a state or provincial checklist - associating a thing with a location." Do all of this in the order specified just as specified.

  1. Open the Checklist Editor by clicking on the Checklists main toolbar button. If this is not visible, you may have to click on the Advanced main toolbar button first.
  2. We are only going to deal with the left-hand side of the editor - Location Checklist in this example
  3. Select the Clements tax list from the Taxonomy dropdown.
  4. Click the Set button
  5. Type the location in question into the Location field.
  6. Click the Load button. The Grid will be loaded with all things defined by the selected tax list that are associated with the selected location.
  7. Type your new bird's/thing's name into the name field
  8. Click the Search button (binoculars)
  9. If this name is ambiguous, you will get a window asking you to choose which thing you really mean. Use this window and wisely pick the correct thing by observing which tax lists it is associated with.
  10. If this name is already in the grid, and therefore already associated with the current location, the grid will be scrolled to display that name and that row will be highlighted. If not, click the Add button to add it to the list. It will be added and the list scrolled to show the record. Click the Common checkbox ("C") if this thing is common at this location.
  11. Click the Update button at the bottom to save the changes.

You have just complete the task.

Thank you. I think I followed the instructions - but obviously not - I still screwed up. I now have the new species in my checklist. But...when I hit "continue" the only species in the checklist is the one I added! If I tick off the " show only the things..at this location" it does just that with the newly added thing but of course I don't have the species I haven't seen available to me. How do I correct the list with only the new thing in it?

Hi Alan,

This happens, usually, when you skip step 6 above (click the LOAD button).

What location are you working with here? I will send you an import for that location that will restore it.

Hi, I suppose it's possible I skipped a step - I thought I had followed the instructions to the letter but maybe senility is catching up with me. The checklist I'm dealing with is British Columbia. Thanks again.

The import file is attached. Please download this to your local computer and then import it using BD (File | Import/Export ) using the settings below on the screenshot.

Then you can go back to the Checklist Editor and attempt to add your new bird to the list. If it somehow fails again, let me know, but you can always get back to square one using this import file.
