 How to Purchase, Download, Import & Activate your new Taxonomic List Minimize

These instructions will step you through the process for Downloading, Unzipping/extracting, Importing and Activating your new taxonomic lists. Follow these instructions in the order provided exactly as stated. If you encounter a problem at any given step and require assistance, please state exactly which step you are on, what you did and what happened. This will enable a fast and accurate solution to your problem.

Purchase License for Taxonomic List

  • Select "Help | Purchase Lists and Upgrades Online"
  • Your browser will open to the Online Store and show you all the options that you may purchase
  • Be sure to enter the Priority Code (if you have one) during checkout in order to receive your discount. You must enter the code and click the "Update Cart" button.
  • You will receive a License ID for your purchase and passwords for unlocking the ZIP files.

Download Taxonomic List and associated Checklist (if one exists)

  • Go to download page
  • Click on one of the taxonomic lists you purchased to download it - click on the download link
  • Choose "Save As..." and save the file to a known location, the download will start and run to completion.
    Each browser (e.g. IE, Mozilla, Netscape, etc) will present different options for downloading a file and saving it to disk depending on how it is configured. The key here is to download it and save it to disk. Do NOT open it at this time.
  • Follow the same procedure for any associated Checklist file presented further down. 
    For example, if you purchase the Birds-ABA tax list, there is an associated Checklist file for that tax list below it in another table. Download that as well using the same procedure as above. 

UnZIP the Downloaded Taxonomic List and Checklist Files

  • Once you have the file downloaded onto your system, you will need to Extract/UnZIP the import (.CSV) file inside.
  • Instructions for UnZipping on various versions of Windows
  • You will be asked for a ZIP password to complete the UnZIP/Extract process. This password was provided on your Invoice (a copy was emailed to you) and is not the same as your logon password for this web site or the Online Store. Supply that password. If you have lost a copy of your invoice - or your invoice is before November, 2006 - you can always retrieve it and your password by logging onto the Online Store. Click here. Make sure you select the option for viewing your Invoice.

  • Important Note: Sometimes, depending on your UnZIP utility, settings, etc - when you UnZIP the CSV file, Excel or some other utility will attempt to open the CSV file. Most UnZIP utilities will allow you to either Extract to file... or Extract and Open.... Do not Open! If you open the contained CSV file using Excel, or some other utility, it may be rendered unusable by Diary. Simply extract the embedded CSV file to disk. If you do open it with Excel or some other file and then Save it to disk from within Excel, it will be unusable by Diary - in this case, UnZIP the file again choosing only to "Save to disk" (this is often called the Extract...option in may UnZIP utilities). Choose the UnZIP option which does not Open the CSV file but rather just saves it to disk.

Import Taxonomic List into Birder's Diary

  • Start Birder's Diary and select "File | Import/Export..."
  • Select the "Taxonomy" TAB
  • Select "CSV" format (v3.5 only)
  • Click the "Import" button
  • Browse to and select the taxonomy import file (the CSV file you extracted from the ZIP file) downloaded in the first step above
  • Click the "Open" button
  • The import process will start
  • If you are presented with the Match Thing on Import window, press the "Novice Mode" button at the bottom left and the import will continue to completion.
  • You will receive a message box when the import completes

Import Associated Checklist, if one exists

  • Select "File | Import/Export..." .
  • Select the "Checklist" TAB.
  • Select "CSV" format  (v3.5 only).
  • Select the associated Taxonomic List from the Taxonomy dropdown. 
    For example, if you are importing a Checklist data file for Birds-ABA-2007, then select that taxonomy from the dropdown.
  • Clear the "Analyze data before import" checkbox (v3.6 only). This will cause Diary to accept all the recommended changes.
  • Check the "Overwrite Locations" radio button (v3.6 only).
  • Click the "Import" button (v3.6 - Import File Created by Diary Export).
  • Browse to and select the checklist import file you downloaded above (the CSV file you extracted from the ZIP file).
  • Click the "Open" button .
  • The import process will import the data into a temporary table and analyze the required changes to be made.
    • If you checked the "Analyze..." checkbox,  it will report these changes in an Analysis window allowing you to accept or reject individual changes. Once you are satisified, click on the Continue Import button.
    • If, during the import process, the window Match Name on Import is displayed, check the "Don't ask again..." checkbox, and click the Ignore button. This is an advanced feature for taxonomy authors.
  • You will receive a message box when the import completes .

Unlock the Taxonomic List in Birder's Diary

  • Select "Help | License Information" from the main menu bar.
  • Click the "Unlock Now" button.
  • Enter your License ID and Password. This is your Online Store password. Not the ZIP password. 
  • Click the "OK" button.

Errors Unlocking Taxonomic List

When attempting to Unlock your tax list using the “Unlock Now” button, Birder’s Diary must communicate with the License server over the internet to validate your license information. Therefore, you must be connected to the internet for this to work. In addition, various firewall/virus software can and does prevent this internet communication from happening. Generally you will get a message from your firewall/virus software asking you whether you want to allow this to happen. You should respond and allow this to happen. Alternately, depending on the configuration of your firewall/virus software, you may not get a notification and the attempt to license your tax list will fail. In this case, temporarily disable all firewall/virus software just long enough for the license validation to occur.
